Booking Procedure and Rental Agreement

To ensure the accurate communication of information necessary in making your function as successful as possible, it is best to work with one person in the planning of your event. We must be notified of meal selection, estimated number of guests, room arrangement, equipment requests and all other details no less than two weeks (14 days) prior to your event. To ensure quality service and avoid any misunderstandings, a written agreement is required for all private functions.

Guarantee Policy

Allendale Country Club must be notified of the exact number of guests attending a function no later than two weeks (14 days) prior to your event. This number will be considered your guarantee and may NOT be reduced after this time. If no guarantee is received, we will consider your last indication of expected guests to be the guarantee. The guaranteed number is the minimum amount for which you will be charged. If fewer guests attend than the number guaranteed, you will be charged for 100% of the guaranteed number.

Deposit

To secure a specific date and space for your event, Allendale Country Club requires a deposit upon signing the contract. This deposit is non-refundable, unless cancelled more than sixty (60) days prior, and will be applied toward your final event total. The remaining balance of the event bill will be collected before the start of the event. 

 

The deposit amount is determined by the estimated guest count: 

  • 0-49 guests: $250.00
  • 50-99 guests: $500.00
  • 100 or more guests: $1,000.00

Cancellation Policy

In the event of a cancellation, it is unlikely that another event can be scheduled to replace the reserved date. To acknowledge the loss of time and revenue, the following terms shall apply. If Allendale Country Club receives written notice of cancellation more than sixty (60) days prior to the scheduled event, 100% of the deposit will be refunded. Any cancellations made within sixty (60) days are non-refundable. 

Member Booking

Members booking an event will have the room rental waived. A deposit is still required to be collected.  

Room Rentals

Inside Banquet Room: $500.00

Available for up to 140 guests, seated comfortably. If the event requires room for a dance floor, the maximum number of seated guests would be 100. Numbers may vary depending on preferred setup. Inside events will have access to the Tavern bar. If the host wants to set up a private bar directly in the banquet room, they are welcome to purchase for an additional $100.00. 

 

Outdoor Deck: $250.00

Available for up to 30 guests. Can be an additional purchase if the host wants to extend event space for a private party. Without purchase, the space will be set up for restaurant use. We can not guarantee access to the deck on the day of your event. 

 

Outdoor Patio/Grass Area: $1000.00

Available for up to 200 guests depending on the setup. This location overlooks the 18th hole on our beautiful semi-private golf course. Includes access to our outdoor bar, firepit, pavilion, patio, and grass area for any occasion. Tents may be purchased through local vendors. 

Rental Times

Allendale Country Club is open for private events from 8am until 10pm, and is allotted a 4-hour window. Events lasting later than 10 pm will need management approval. If you would like to schedule an event longer than 4 hours, you may purchase for an additional $200 per hour.

Outdoor Events

If there are concerning weather conditions for a scheduled outdoor event, the decision to move the event indoors must be made at least 24 hours prior to the event start time. If host is unable to be reached for that decision, Allendale Country Club will make the final event venue determination. If weather causes the host to reschedule the event, you will have the option to choose a later date at no additional charge.

Final Payment

The remaining balance is to be paid BEFORE the start of the function, if not paid at an earlier time. Allendale Country Club will provide an itemized bill of all food, beverage, and additional charges. The credit card on file will be charged for the event cost unless another form of payment is preferred. Any additional charges, including extra guests beyond the guarantee, must be settled immediately before the event.

Service Charge Fees

A 20% service charge will be added to the cost of all food, beverage, and other services arranged by Allendale Country Club. This charge is not a gratuity; it covers maintenance, operational, and administrative costs associated with hosting events. The service charge also includes the use of standard event equipment such as tables, chairs, linens, glassware, and silverware.

Gratuity

Gratuities for hourly event staff are at the discretion of the client and are greatly appreciated for the service provided during your event. Any gratuity provided will be distributed among all hourly event staff who contributed to the success of your function. Please note that a 20% automatic gratuity will be applied to all event open bar tabs.

Taxes

Per State of Massachusetts regulations, all event services, food, alcohol, and fees are subject to a 7% State  and Local Meals Tax.

Damages

It is understood that the host of any event may be held liable for all guests and their actions holding Allendale Country Club harmless for all or any damages, losses, or bodily injury. Hosts are also responsible for all bills accrued that are not paid and any damages incurred to Allendale Country Club. There will be a $200 damage fee charged to the host should this occur.

Food and Beverages

All federal, state, and local laws pertaining to food and beverage purchases or consumption are strictly adhered to. All food and beverages must be purchased through Allendale Country Club, with the exception of ceremonial cakes. Quantities are prepared based on the guaranteed guest count to provide ample selection, and all food service is guaranteed for two hours before items are removed. In accordance with Board of Health guidelines, leftover food may not be taken off the premises. Menu prices are subject to change based on product availability and cost, and do not include taxes or fees.

Bar Service

All alcoholic beverages must be served by Allendale Country Club staff and consumed on Allendale Country Club property. No drinks or glassware may be taken off-site. No alcoholic beverages will be served to anyone under the age of 21, and Allendale Country Club reserves the right to verify age and discontinue service if deemed necessary. Anyone supplying alcohol to underage guests or appearing too intoxicated will be refused service and asked to leave. All Massachusetts alcohol laws will be strictly enforced. Outside alcohol is prohibited; any brought in must be surrendered, and the host may be fined for violations. 

Photography

Client agrees that Allendale Country Club may use images from the event for display, advertising, website use, social media, and any other means of promotion for Allendale Country Club’s business.

Outdoor Music Policy

Allendale Country Club, situated on 163 acres, is mindful that sound carries and aims to respect our neighbors’ privacy. Live and recorded music are permitted but must remain at acceptable levels to avoid disturbing the surrounding area. The event manager will help establish sound limits, and any complaints may require further volume reduction. We reserve the right to lower sound or stop music at our discretion. All amplification must stay within the assigned event space, and outdoor amplified music must conclude by 10:00 p.m.

Golf Accommodations

Golf services may be added to events based on Allendale Country Club’s hours of operation and course availability. Options may include tee times, group outings, or tournament-style play, and must be arranged in advance with our management staff. All golf accommodations are subject to applicable greens fees, cart rentals, and course policies. reduction. We reserve the right to lower sound or stop music at our discretion. All amplification must stay within the assigned event space, and outdoor amplified music must conclude by 10:00 p.m.
